Council Meeting Minutes June 2023

Call to Order:  Mike called the meeting to order at 7:00 PM   

Opening Devotion:    Rachel led us in devotions/prayer

Adoption of the Agenda: Rachel made a motion to adopt the agenda.  Ann seconded the motion.  Motion carries.

Approval of Previous Minutes:  Ann made a motion to approve minutes from the May, 2023 council meeting.  Patti seconded the motion.  Motion carries.

EXECUTIVE TEAM REPORTS:

President’s  & VP Report – Michael Isenberg & Nate Boucher

June 5th Meeting with Boy Scout Troops 3542 and 5542 – Nate and I spent some time with several reps from the Boy Scout troops that we sponsor a couple weeks ago and had some great dialogue with them.

Nate & I agreed that we’d love to see the relationship enhanced in a meaningful way to both sides and not make it a “we need some random work done, you need to do some random work, please do it” kind of relationship.

(I’m not saying that it has become that way but we want to make sure that never does and that nobody feels taken advantage of or taken for granted.)

Action items on our list:

  • We will figure out who is a good point person for them regarding plants/trees/etc. outside and for our part, see what kind of a team we have in place (if any).
  • We will also decide on a council liaison for them to contact whenever they feel the need.
  • We will set up a crash course training on the AV in the CLC. (According to Katie, this may no longer even work)
  • Remind Katie that canoes & possibly other things might be available to the Prince of Peace though.

Mental Health Connect – Mike attended the monthly ambassador meeting on June 13th via Zoom. Highlights were the announcement that Hannah Campbell Gustafson taking over as the new executive director and a presentation by Dr. Cerise Lewis who discussed mental health, specifically needs in the BIPOC community, the stigma surrounding it, advocacy for it, and resources for people who need help.

Mari Senstad has agreed to join the MHC ambassador team at Prince of Peace which brings us up to 5 (including Rachel Henderson, Jeff Amstrup, Cathy Krogstad, Allison Isenberg). If you know of anyone else who is interested in joining, please let me know.

Please let us know how we can help support you as a council member, PoP member, or in whatever capacity you need help. If we don’t have the answer, we can help find someone who does!

Notable May Activity:

  • For the month of May, receipts were less than expenses.
    • The general/building fund activity for the month was a loss of $3,789.  This is unfavorable to the budget by $1,378, and unfavorable to the prior year by $9,327.
    • The expenses are favorable to the budget but unfavorable to expenses of the prior year.
    • Total May offerings were lower than the budget by $6,162 and lower than last year by $8,984.
  • For May year to date, receipts are lower than expenses, resulting in a YTD loss of $20,792.
    • Cash balances available at the end of April were $2000.
  • Due to low cash flow and the delay in receiving the ERC, we completed paperwork for a Line of Credit with Premier Bank for $60,000.  In order to pay monthly expenses, we drew $12,000 on this line of credit in May.

Community Life – none

Congregational Care- none

Outreach- 

The PoP Outreach team is happy and grateful to report that we hosted a very successful fundraising event to benefit Avenues for Youth.

Katie Hines (one of our members) is also a member of the Caritas musical group. She helped promote the concert in a variety of ways. Thanks Katie and members of Caritas. 

Special thanks to our pastors, Katie Rykal and Nikk VanLiew who helped in creating the promotional energy during church services, on our outdoor sign and on social media. Also, thank you to PoP choir members who baked delicious bars for the reception after the program.

Not only does the group create beautiful music together, but their charter was formed to donate nearly all the proceeds directly to non-profit organizations. Melissa Cuff (an employee of Avenues) gave a short presentation on all the programs that Avenues supports.

Through ticket sales and donations, we were able to raise over $1200. Plus, there was a generous anonymous match that was made, too.

This has been such a wonderful event and we hope that it will be considered again next year.

·        Personal Care Item Collection – On-going collection of mesh laundry bags, deodorant, lotion for ethnic skin, shower mats and curtains

·        Meals on Wheels – going well.  All slots filled and people are very willing to sub as needed.

·        Monthly Food Collection – Rachel Boucher delivered May donations. Jeanne to check who is scheduled for June and July.

·         Farm Fresh

o   July 19th, 1 pm – 3 pm

§  Up to 20 volunteers needed – 18 years+

§  Hotdog Cookout during 3-5 shift – The 3-5 shift is full, so we decided not to host the cookout. We may consider this for next year.

o   August 23rd, 1 pm – 3 pm

§  Up to 20 volunteers needed – 18 years+

§  Outreach meeting to be held at Edinburgh golf course restaurant following volunteer event.

Care Bags – Melissa

·        Thrivent Grant – Either Amy or Melissa will request.

·        Supply Collection and Assembly – date and time to be scheduled – Melissa to confirm with Katie when youth service week is this summer and see if we want to coordinate around this. The other proposed alternative is to collect in September and fill in October.

LSS – Refugee Services Donation Collection – Jodi

·        Collection bins and information available in Welcome Center

·        Mailed a check to LSS on 5/13 for $1,150 from donations received.

·        More donations coming in – will cut a 2nd check in June. Currently have $100.00 in the LSS designated fund.

Park Brook Elementary – Jodi

·        Park Brook Field Day – Monday, June 5th, volunteers needed to help with field day events – Jodi is planning to volunteer.

·        5th Grade Graduation Breakfast and Commemoration – Wednesday, June 7th.

o   8:15 a.m. – 10:00 a.m. – Breakfast volunteers serve breakfast and help with clean-up. Sally, Elaine and Jodi are signed up so far.

o   1:30 pm – 3:30 p.m. – Commemoration volunteers serve cake and lemonade and assist with clean-up. Jodi is signed up for the afternoon shift.

o   Promoted in May and June eNews. Sign-up sheets are available in eNews link and on the Welcome Center kiosk.

Second Harvest Heartland – Jodi

·        Food Packing Event – Thursday, June 15, 9 am to 11 am

·        12 volunteer slots reserved – Jodi is signed up. Melissa and Jeanne may also be able to volunteer. Katie plans to recruit youth.

·        Birthday Bag Assembly – Monday May 8th at Amy’s. Used $232 from CEAP funds. Amy delivered to CEAP.

·        Park Brook 5th Grade Career Fair – May 12th, Jodi provided 75 bottles of water.

·        Caritas Ministry Moment and Ticket Sales – Sunday, May 14 – Katie Hines and Melissa Cuff promoted the event during announcements and sold tickets during coffee hour.

·        Jeans and Junk – May 21st – Melissa chaired this event and recruited 15 volunteers. We were able to clean all sections of our Adopt a Highway area.

Youth and Childrens Ministry – Katie

Children, Youth and Family Report June 2023

Just as the school year was winding down, we were actively gearing up for a Summer full of Ministry Opportunities for our Children, Youth and Family. Here is a short snapshot of what will be happening this Summer:

* DIG Sundays twice a month for PreK-5th grade (basically Summer Sunday School)
* Summer Day Camp M-F for PreK-5th Grade

* Monthly Worship nights, fellowship events and service events for 6th-12th graders
* Adventure Trip for 8th-12th graders
* WAPO for 1st-12th graders

So far, we have completed our first week of Summer Day Camp and after a hectic first week we are starting to settle into the groove. We have a lot of new faces in Day Camp this Summer which is always exciting to see. After losing Rachael Follestad (to a full-time nursing job) we hired two staff members: Jessica Boland (returning from last Summer) and Sydney Nguyen. Having both here allows me to step back into a more supervisory role as my Summer is busier than years previous.

DIG Sundays are always well received, and are a very relaxed format of Sunday School

We have had ONE Worship night so far, and they are asking for more opportunities to simply be here at Church and talk about life.

Graduation Sunday was a huge success. While we would like more of our graduates to attend, it was nice to see most aspects of the service be led by our young people – and it is always fun to tell stories.

Working towards getting everything squared away for the Adventure Trip to Colorado, and then WAPO will be shortly after.

Prayers for all our young people this Summer and the people who are called to work with them.

New Business: TheCouncil members discussed since the ERC Funds have been received, we would like to propose to allocate money towards a Sabbatical stipend. Ann made a motion to approvea Sabbatical stipend. Patti seconded the motion.  Motion carries.
